JOB POSTING: Finance Administrator

Gallery Gachet is seeking an organized and compassionate individual who will work collaboratively with the staff and collective team to support the delivery of cultural services and operations related to Gallery Gachet’s mandate, by managing the financial and administrative systems of the gallery.
Gallery Gachet is collectively run arts production, education and exhibition space located in Vancouver’s Downtown Eastside (DTES), that supports participants as artists, educators and curators. We strive to provide a focal point for dialogue amongst artists who experience marginalization. Through artistic means, we aim to demystify and challenge issues related to mental health and discrimination in order to educate the public and promote social and economic justice. We believe that the expression and practice of art and active participation in culture-building is a human right, and that art and culture are critical elements of a healthy society.

Job Responsibilities

Organizational Development:
• Take part in strategic planning in conjunction with the collective, staff, and board members including monthly Finance, Human Resources and Board/Collective meetings; Annual General Meetings, Annual Retreat and ongoing community relations;

Finance:
• Grant writing and maintaining funder relations;
• Budget management;
• Working with the Bookkeeper to manage accounts, including overall gallery budget implementation, cashflow, bills, payroll and artist fees;
• Coordinate with bookkeeping, the processing of monthly and annual reports and provide clear information in plain language, to the collective and associate members as needed;
• Prepare funder reports, statistical documentation, including outcomes of Gallery programming;
• Write and maintain operational grants and provide financial budgets and guidelines for project grants;
• Provide financial information as required by all committees and liaise with the Finance Committee regarding ongoing finance decision-making.

Record-keeping and General Administration:
• Manage various contracts and documentation including insurance, society filing, business license and lease agreements;
• Responsible for general office administration support staff and collective team.

Preferred Knowledge, Abilities & Skills:
• Minimum 2-3 years of experience with grant-writing, partnership-building for not-for-profit organizations, and other fund development strategies;
• Minimum 2-3 years knowledge of budgetary practices and maintenance; knowledge of relevant accounting and bookkeeping procedures;
• Knowledge and experience in the operation of an artist-run centre;
• Knowledge and experience with issues related to mental health diversities, trauma, and addictions;
• Experience working within community impacted by displacement, poverty, homelessness, racism and other disabling conditions;
• Willingness to work in a collaborative and non-hierarchical environment;
• Experience working in non-profit or community organizations, and knowledge of collective empowerment, facilitation and capacity-building models;
• Ability to be proactive in bringing financial issues or suggestions for improvement;
• Ability to multi-task and function effectively with deadlines. Excellent organizational, communication as well as record and time management skills;
• Must be able to operate all office equipment, strong capacity working in a variety of PC and Mac software programs, intermediate working knowledge of Excel and basic knowledge of accounting software;

Authority:
• Reports to Collective on a monthly basis;
• Reports to Human Resources, Staff and Finance committees and is supported by these committees;
• Annual performance reviews shall be carried out by the Human Resources committee. An annual review of the membership and Collective will be conducted at approximately the same time as the staff review is conducted. Consideration of changes and adjustments to job descriptions, wage increases and collective responsibilities will be done at this time.

Remuneration and term:
The Finance Administrator starting wage is $23.00/hr, with a work week of 25 hours. Full medical benefits are available pending a three-month probation period. Vacation is accumulated at 6% for a maximum of three weeks available per annum, plus a week off in combination with December stat holidays. The 25 hours per week are expected to be performed on site.
